Once you’ve connected your WABA, each phone number on it is something you’ll want to keep an eye on. This page covers how to view and manage them from inside Xobito.

Where phone numbers live

Go to Setup → Account in the sidebar. You’ll see a list of every phone number on your connected WABA.

Display name

The display name is the most customer-facing part of your WhatsApp setup — the name that appears above every message you send.

View your current display name

It’s shown in the list and in the detail drawer. It matches whatever is approved in Meta.

Change your display name

Display name changes happen at Meta, not Xobito. But Xobito gives you a direct link.
1

Open the phone number detail

Click the row of the number you want to change.
2

Click 'Change display name in Meta'

This opens the corresponding Meta Business Manager page in a new tab.
3

Submit the new name

Enter a compliant name and submit.
4

Wait for approval

Usually minutes to a few hours. Sometimes up to 2 business days.
5

Refresh in Xobito

Click Sync with Meta on the Account page. The new display name appears once Meta approves.
Display name changes can be rejected. If rejected 3 times in a row, Meta locks you out of changes for 30 days. Read the display name rules before submitting.

Quality rating

Your quality rating is Meta’s automated health score for your number, based on how users respond to your messages.

What the ratings mean

Green

Healthy. Low block/report rate. You can send at full throttle within your tier.

Yellow

Warning. Some users are blocking you. Meta is watching. Slow down and improve content.

Red

Critical. High block/report rate. Meta may throttle or pause your sending. Action needed.

What drives quality

Quality is driven almost entirely by user behavior — how often recipients block, report, or ignore you.
Common causes of Yellow/Red:
  • Messaging people who didn’t opt in.
  • Sending high-frequency promotional content.
  • Using poor-quality contact lists (outdated, scraped, or bought).
  • Not honoring opt-outs quickly.
  • Templates that feel spammy, misleading, or unrelated to what users signed up for.

Recover from Yellow or Red

1

Pause new marketing sends

Stop adding fuel. If Red, Meta may already be throttling — confirm on your Account page.
2

Audit your contact list

Remove anyone who hasn’t engaged in 90+ days. Remove anyone who hasn’t clearly opted in.
3

Clean your templates

Make subject lines specific and useful. Remove high-pressure sales language.
4

Honor opt-outs immediately

Use Xobito’s auto-detect opt-out keywords (STOP, UNSUBSCRIBE). See Automations.
5

Wait 7 days

Meta’s rating is a rolling window. If block/report rates drop, quality climbs back up automatically.
You can’t “appeal” a quality rating. It’s entirely based on user behavior. The only fix is to behave better to your audience.

Messaging tier

Your messaging tier is Meta’s daily cap on unique contacts you can initiate conversations with in a rolling 24-hour period.
TierCap per 24h (unique contacts)
Tier 11,000
Tier 210,000
Tier 3100,000
Tier 4 / UnlimitedNo cap
The cap applies to unique contacts, not messages. Sending 3 messages to the same person counts as 1. Replies inside a session don’t count at all.

How tiers auto-increase

Meta automatically promotes your number to the next tier when:
  • Your quality rating is Green or Yellow (not Red), and
  • You messaged at least 2× your current tier in any rolling 7-day window.
Example: if you’re on Tier 1 (1,000/day) and message 2,000+ unique contacts in a week, you’ll likely hit Tier 2 soon.
To scale up fast: connect your number, verify your business, and send steady real campaigns. Tier increases can happen in days.

Tier downgrades

Tiers can also drop — if you hit Red quality or a sudden spike in blocks. Once recovered, you climb back up.

Sync with Meta

Xobito caches phone number details for fast page loads. To pull the latest from Meta:
1

Open Setup → Account

Make sure you’re on the phone numbers list.
2

Click 'Sync with Meta'

Top-right of the list. Takes 5–10 seconds.
3

Review the refreshed values

Display name, quality, tier, and status are now current.
Xobito also syncs automatically every hour in the background. You only need to click Sync if you just made a change in Meta and want to see it now.

Adding more phone numbers to the same WABA

You can have multiple phone numbers on one WABA — useful for different regions, brands, or teams.
1

Open Setup → Connect WhatsApp

The connect screen opens.
2

Click 'Add phone number'

If a WABA is already connected, Xobito shows an Add phone number button.
3

Complete Meta's dialog

4

Verify with OTP

Each new number needs its own verification.
Each number is billed by Meta independently. Quality ratings and tiers are also per-number.

Two-step verification (PIN)

Meta strongly recommends setting a 6-digit PIN on every number. It prevents anyone from re-registering your number elsewhere.
1

Open the phone number detail

Click the row in the phone numbers list.
2

Click 'Set PIN'

Xobito asks you to pick a 6-digit code.
3

Store the PIN safely

You’ll need it any time you re-verify the number. Save it in your password manager.
Don’t lose the PIN. If you try to re-register the number later and can’t supply the PIN, Meta locks you out for 7 days.

Troubleshooting

Check your recent campaigns. Did you message a new list, send an unusually promotional template, or ramp volume quickly? Pause campaigns, audit opt-ins, and wait a week.
Three likely causes: (1) your business isn’t verified with Meta — verification unlocks faster promotions; (2) your quality is Red — fix that first; (3) you haven’t sent enough volume — Meta needs to see at least 2× your current tier in a week to promote.
Click Sync with Meta on the Account page. If it still shows the old name, Meta is still processing the change — check Business Manager for status.
New numbers and display name changes go through Meta review. Usually resolves within a few hours. If stuck more than 2 business days, contact Meta support via Business Manager.
No. A phone number can be connected to exactly one Xobito workspace at a time. You’d need to disconnect from one workspace first, then connect in the other. See Disconnect.
